PDF tools for accountants — statements, invoices and year-end archives

Updated 18 August 2026

Accounting work turns PDFs into numbers and then into archives. UnboundPDF exports detected table rows from statements to a standard .xlsx workbook with PDF to Excel (CSV also available), assembles client packs with Merge PDF, and prepares year-end files with PDF/A and Protect PDF — in your browser, with no client data uploaded.

Turn statements into a typed Excel workbook, assemble client packs and archive year-end files in your browser — no client data uploaded.

UnboundPDF is a free suite of 43 PDF and image tools that run entirely in your browser — merge, split, compress, edit text, OCR in 126 languages, redact, sign, convert and archive to PDF/A. Your document is read and written by the page on your own device; there is no document-upload endpoint in the core tools, no account, no watermark and no daily cap. Every result can be checked — with the Network tab, or with the Document Passport the Workspace writes for a chain of steps.

  1. Open PDF to Excel and add the statement; the text is parsed on your device.
  2. Review the detected rows and columns in the preview, then export the workbook.
  3. Open the .xlsx workbook and tidy up merged or styled cells (CSV is also available).
  4. Assemble the supporting documents into one pack and archive it at year end.

A trial balance, a payroll run and a client’s bank statement are among the most sensitive documents anyone hands over. Every tool linked here runs inside your browser tab, so a client’s figures are read on your own machine and no copy is created on a processing server you cannot audit.

Statements into spreadsheets

PDF to Excel reads the text positions on each page, works out where the column boundaries fall from the rows that agree with one another, and exports a standard .xlsx workbook — so a statement comes out as columns rather than one long line per row, with numbers and dates stored as values, not text. Prose paragraphs are kept whole instead of being forced into cells. CSV is also available, with a byte-order mark written so accented names survive the trip into a spreadsheet app. Then do the thing a professional does anyway: tie the exported totals back to the PDF before anything downstream depends on them. If the statement is a scan, there is no text to read at all — run OCR first, using the walkthrough in OCR a scanned PDF, and only then export. When you want the wording rather than the figures — a covenant, a fee note — extracting the text is the shorter path. On why typed cells matter for the totals you are about to trust, see why typed cells matter when you convert a PDF to Excel.

The client pack, assembled once

Working papers arrive as a dozen attachments and should leave as one file. Merge PDF combines the statements, invoices and schedules in the order you drag them; Organize PDF removes the pages that should never have been in the bundle — a draft note, another client’s cover sheet — before you merge. The local mechanics are in merging PDFs privately. If the finished pack will not clear a mail gateway, Compress PDF on Balanced keeps the text selectable, compressing for email explains the caps, and Split by Size cuts the pack into parts under a limit you set. Measured on 13 Aug 2026, a 141 KB scanned letter came out of Balanced at 84.6 KB, and a 784 KB scan at 418 KB.

Archiving the year end

Records that must still open in a decade should not depend on a font that lives on this year’s laptop. PDF/A writes PDF/A-2b metadata, document identifiers and archive-oriented settings into the file without re-rendering your pages. Read what it does not do in the limits below. Where an archive contains anything confidential, Protect PDF encrypts it with AES and self-checks that the output really will not open without the password — which also means a forgotten password is unrecoverable, so record it in whatever your firm uses for that. Edit Metadata is worth a pass before filing: set a title that a records system can sort on, and clear the author and keywords a scanner or a previous engagement left behind.

Before it leaves your desk

Circulating a draft set? Watermark PDF stamps DRAFT or the engagement name across every page at whatever opacity you pick, drawn into the page content so it travels with the file. If a signature is needed on an engagement letter or a representation letter, Fill & Sign types onto the form and places a drawn signature, and Flatten PDF bakes the completed field values so they stop being editable — with the caveat about what that signature is, below.

Scope

Column detection reads geometry, not meaning, so merged cells, nested headers and heavily styled layouts may need tidying in your spreadsheet — reconcile before you rely on the numbers. PDF/A output is PDF/A-2b, checked against our published PDF/A-2b rule list on your device before it claims conformance; DeviceCMYK artwork is reported rather than converted. Compression reports the real figure: a 6.5 MB already-optimised paper gave up 3% on the same run in Chrome. A drawn signature is a signature image, not a PKCS #7 certificate signature. None of this is tax, audit or legal advice; retention rules and filing formats are set by your regulator.

Verify the no-upload claim yourself

Client confidentiality is not something to take on faith from a website. Open DevTools, switch to the Network tab, and run an export on a throwaway file: you will see the page fetch its own scripts and no request carrying your document bytes. The PDF Privacy Lab walks through that check with a test document. Adjacent workflows are covered in PDF tools for small business and, for sole practitioners billing their own clients, PDF tools for freelancers.

Frequently asked questions

Can I get a bank statement into a spreadsheet?

Yes, if the statement has a real text layer. PDF to Excel detects column boundaries per page from where the rows agree and exports a standard .xlsx workbook — numbers, dates and currency stored as values. CSV is also available. Detection is a heuristic, so check the totals against the PDF.

Does it export XLSX or CSV?

Both — the download is a standard .xlsx (Office Open XML) workbook by default (numbers, dates and currency stored as values, one sheet per detected table plus a Full text sheet), with CSV kept as a second download for anyone who prefers it.

Will it read a scanned statement?

Not directly — a scan has no text to extract. Run OCR PDF first to add a text layer, then export. Recognition quality tracks the scan, so verify the figures rather than trusting them.

Does PDF/A make my archive compliant?

It writes PDF/A-2b metadata, document identifiers and archive-oriented settings, and embeds missing fonts and adds an sRGB output intent, but does not convert colour spaces, so a strict validator such as veraPDF may still flag colour-space issues.
